Director of Operations Position

Capital Review Group, a leading national incentive/tax advisory firm, is in search of an organized, detail-oriented, and self-motivated individual to serve as Director of Operations. As the person responsible for managing the day-to-day activities of our growing firm, duties will include overseeing the sales force, working with the marketing team, running meetings, collaborating with other employees to schedule and manage projects, and more. The ideal candidate will be an independent problem solver with outstanding organizational, project management, and communication skills.

Operations Director Daily Duties & Requirements

  • Run Monday morning meetings
  • Maintain project tracking sheets
  • Assist and direct marketing team with website changes/additions and the creation of white papers and monthly email campaigns
  • Manage sales force, including fielding calls from sales reps with questions/problems/what is needed from their clients/timelines on projects
  • Troubleshoot projects and determine what direction/action should be taken
  • Oversee all email correspondence and save all correspondence in Outlook
  • Check mail, make deposits, and coordinate with Accounting on commissions to be paid
  • View A/R on a weekly basis and confirm with Accounting
  • Create all agreements/contracts for clients
  • Keep agreements up to date and make changes as needed
  • Create all invoices
  • Assemble final reports for all service and deliver (179D/Cost Segregation/R&E)
  • Follow up on payments from clients if need be/send out reminder emails and/or make phone calls
  • Maintain all agreements; change verbiage as needed
  • Maintain BaseCamp – project listing and invitations/archiving/troubleshooting
  • Keep hard copy files of all projects (physical files and folders)
  • Maintain completed projects in Dropbox
  • Schedule with Engineer  the order of 179D projects to be modeled
  • Set up site visits – supplying all info needed & fielding any issues
  • Negotiate payment (when needed) for SV from contractor
  • Schedule with Engineer  the order of Cost Segregations to be completed
  • Scheduling with Attorney  the order of R&E projects to be completed
  • Answer the 877 number and direct the call to the appropriate employee

Future duties to include: 

  • Succession Planning: creating contracts, completing paperwork and managing like all other services

Computer Operating Systems: 

  • Microsoft Office (Outlook/Word/Excel/PowerPoint
